Trilogy Sports & Fitness is committed to providing reliable scheduling, professional training services, and clear expectations for clients, athletes, parents, and guardians. This Cancellation Policy explains how appointment cancellations, rescheduling, no-shows, memberships, subscriptions, package cancellations, and support requests are handled.

By purchasing a package, enrolling in a membership or subscription, booking a session, registering for a program, or participating in services through Trilogy Sports & Fitness, you agree to this Cancellation Policy.

For most cancellation requests, membership changes, subscription issues, billing concerns, refund requests, scheduling issues, account questions, or general support needs, clients should submit a support ticket through our Support Request page at https://trilogyfitpt.com/support. This allows Trilogy Sports & Fitness to properly track, review, and respond to requests.

1. Session Cancellation Policy

Clients are responsible for canceling or rescheduling sessions as early as possible.

Unless otherwise stated in writing, sessions canceled with less than 24 hours’ notice may be counted as used, charged, or forfeited.

This applies to, but is not limited to:

Personal training sessions Sports performance training sessions Semi-private training sessions Group training sessions Assessments Introductory workouts Private appointments Online or virtual coaching appointments

Trilogy Sports & Fitness may choose to waive this policy in certain situations, but waivers are not guaranteed.

2. No-Show Policy

A no-show occurs when a client or athlete does not attend a scheduled session and does not cancel ahead of time.

No-shows may be counted as used, charged, or forfeited.

Repeated no-shows may result in restricted booking access, account review, removal from a program, cancellation of future bookings, or termination of services.

3. Late Arrival Policy

Clients and athletes are expected to arrive on time.

Late arrivals may result in a shortened session and may still count as a full session.

Trilogy Sports & Fitness is not required to extend a session, reschedule missed time, or provide a credit due to late arrival.

4. Rescheduling Policy

Clients may request to reschedule a session when needed, subject to trainer availability, facility availability, program structure, and package terms.

Rescheduling requests should be made as early as possible. Requests made with less than 24 hours’ notice may still be treated as late cancellations.

Submitting a rescheduling request does not guarantee that another session time will be available.

5. Membership and Subscription Cancellation

Some services may be billed on a recurring basis, including memberships, package subscriptions, online coaching subscriptions, and other subscription-based services.

Clients are responsible for managing their membership or subscription and canceling before the next billing date if they do not wish to continue service.

Clients have the ability to cancel their membership or subscription ahead of time according to the cancellation instructions provided by Trilogy Sports & Fitness or through the applicable client portal, app, payment system, written communication process, or Support Request page.

Trilogy Sports & Fitness is not responsible or obligated to provide a refund if a client does not cancel their membership, package subscription, or recurring payment on time before the next billing date.

Cancellation requests submitted after a payment has already processed will apply to the next billing cycle unless Trilogy Sports & Fitness approves a different arrangement in writing.

6. How to Submit a Membership or Subscription Cancellation Request

For membership, package subscription, or recurring payment cancellations, clients should submit a support ticket through:

Cancellation requests should include:

Client or athlete name Parent or guardian name, if applicable Email or phone number connected to the account Membership, package, or subscription being canceled Requested cancellation date Reason for cancellation, if applicable

Incomplete or inaccurate cancellation requests may delay processing.

7. Cancellation Timing and Billing Responsibility

Clients should submit cancellation requests before their next billing date to avoid future charges.

Trilogy Sports & Fitness is not responsible for charges that occur because a client failed to submit a cancellation request before the next billing date.

If a client submits a cancellation request after the billing date or after a payment has processed, the payment may be non-refundable and the cancellation may apply to the next billing cycle.

8. Approved Refunds After Late Cancellation

Membership, subscription, and package payments are generally non-refundable once charged.

If Trilogy Sports & Fitness chooses to approve a refund for a late cancellation, missed cancellation, billing issue, or subscription payment that was not canceled on time, the refund may be subject to a service charge.

This service charge may include:

Administrative time Transaction costs Payment processor fees Payment system fees Any other fees related to the refunded amount

Approved refunds may be reduced by these fees and charges.

9. Minimum Commitment Programs

Some services may include a minimum commitment period, such as a 3-month, 6-month, or other required commitment.

By enrolling in a minimum commitment program, the client agrees to complete the full commitment period and pay all amounts due during that commitment.

Early cancellation of a minimum commitment program may not remove the client’s responsibility for remaining payments unless approved in writing by Trilogy Sports & Fitness.

10. Package Cancellations

Training packages, session credits, and prepaid services are generally non-refundable once purchased.

Canceling future participation does not automatically create a refund for unused sessions, unused credits, or unused package value.

Unused sessions may expire according to the package terms provided at purchase.

Package holds, credits, transfers, or extensions may be considered at the discretion of Trilogy Sports & Fitness but are not guaranteed.

11. Camps, Clinics, Events, and Special Programs

Camps, clinics, events, challenges, and special programs may have separate cancellation rules.

Unless otherwise stated in writing, payments for camps, clinics, events, challenges, and special programs are non-refundable.

If Trilogy Sports & Fitness cancels a camp, clinic, event, or special program, we may offer a refund, credit, transfer, rescheduled date, or alternative service option.

If a participant cannot attend after registration, refunds are not guaranteed. Account credits or transfers may be considered at our discretion.

12. Medical Issues, Injuries, and Emergencies

If a client or athlete becomes injured, ill, or medically unable to participate, they should submit a support ticket through https://trilogyfitpt.com/support as soon as possible.

Refunds are not guaranteed for injuries, illness, or medical issues. However, Trilogy Sports & Fitness may consider an account credit, package hold, extension, or modified service option when appropriate.

Documentation from a medical provider may be requested before any credit, hold, extension, or cancellation exception is approved.

13. Weather, Facility, or Business-Related Cancellations

Trilogy Sports & Fitness may cancel, reschedule, modify, or relocate sessions, classes, events, or programs due to weather, facility needs, trainer availability, emergency circumstances, low enrollment, safety concerns, business needs, or other operational reasons.

If Trilogy Sports & Fitness cancels or reschedules a session, we may offer a makeup session, account credit, rescheduled date, alternative service option, or other solution at our discretion.

Business-related cancellations do not automatically create a cash refund unless approved by Trilogy Sports & Fitness.

14. Account Holds or Pauses

Account holds, membership pauses, package holds, or billing pauses may be considered at the discretion of Trilogy Sports & Fitness but are not guaranteed.

Approved holds may have expiration dates, documentation requirements, usage restrictions, or billing conditions.

Requests for holds or pauses should be submitted through https://trilogyfitpt.com/support.

15. Communication and Documentation

Clients are responsible for keeping accurate records of their bookings, payments, cancellations, and account status.

Trilogy Sports & Fitness may use support tickets, portal records, payment records, booking records, emails, text messages, app records, or other business records to verify cancellation timing, payment status, and account history.

Support tickets are the preferred method for most cancellation, billing, membership, and account requests.

16. Changes to This Cancellation Policy

Trilogy Sports & Fitness may update this Cancellation Policy at any time.

When updates are made, the revised policy will be posted on this page with a new effective date.

Continued use of our website or services after updates are posted means you accept the revised Cancellation Policy.
